In the case of a reservation cancellation, issuing a full or partial refund to a renter's credit card is at the sole discretion of the Space Manager.
Issuing a refund will update the Space Request status to 'Cancel', send a cancellation/refund confirmation email to the renter, and a credit (full or partial) will be processed to the renter's credit card. Here are a few things to be aware of:
No Refund Fees (Whoot!)
While many online payment systems charge you a fee to process a refund, Fractured Atlas has integrated SpaceFinder with a system that DOES NOT. We understand that cancellations and refunds are a just part of the reality of running a venue. You will not be charged any fees to refund a renter. Credit Card Refund Limitations
Refunds made through SpaceFinder are only possible before the rental date and time passes. After the rental date and time passes, venues are responsible for issuing refunds at their discretion and outside of SpaceFinder (by check, rental credit, other).
How to Process a Refund/Cancellation
Open your Space Requests and click on the date of the transaction you want to refund.
Select Edit Request.
Click the Refund tab and choose the reason for the cancellation. Partial refunds may be performed by changing the refund amount.
This will complete the refund and trigger a refund confirmation email to the renter with the following information:
Subject: Your reservation has been canceled
Your reservation at [space_name] on [reservation_date] from [starting_time] — [ending_time] has been canceled by the space's manager.
If you did not request this cancellation please contact the space directly (details below).
Your credit card has been issued a refund of $X.00.
Refunds are issued by space managers according to the space's cancellation policy (listed below). If you feel that you are entitled to a refund (full or partial) that you did not receive, please contact the space directly.
- The 'reason for canceling' is entered by the Space Manager and will be displayed both in the email to the renter and on the transaction record for future reference.
- Credit Card Status will display as 'Refunded Fully' or 'Refunded Partially'.
- If you cancel a reservation on the same day it was approved, no charge will show on the renter's card. (And therefore no refund will need to be processed.)
